Frequently Asked Questions
Pro or Flex—which one is right for us?
As a rule of thumb: If you organize an annual conference, Converia Pro is the right fit—a per-event subscription where data and configurations are retained for the next edition. For three or more events per year, Converia Flex is more cost-effective: a contract with annual quotas that you can distribute flexibly across all your meetings. During a consultation, we can calculate both options for your specific case.
What happens if we exceed our quota?
No surprises here: additional participants and presentations are billed at a flat rate—for example, with the Pro plan, it’s €2.49 per additional person in the Starter package and €1.49 in the Advanced package. You don’t need to switch packages in the middle of your registration phase. If your conference grows permanently, you can simply upgrade to a larger package for the next billing cycle.
What additional costs might apply on top of the base fee?
Three things, all clearly defined: First, the registration fee for ticket sales – 2.2 to 2.5 percent depending on the package, capped at €15 per ticket. This does not apply to free registrations. Second, optional add-ons such as an event website, mobile app, or custom domain, depending on the package. Third, bookable service packages for onboarding, training, or ongoing support. None of these are charged without your explicit knowledge.
Can we process payments through our own account?
Yes, at any time and at no extra cost. Alternatively, Converia Pay can handle payment processing for you: 2.95 percent for bank transfers, and 3.45 percent for credit card, Apple Pay, and Google Pay transactions.
Is there a discount for longer contract terms?
Yes. With a three-year contract, the base fee is reduced by 10 percent – fixed for the entire term, with no inflation surcharge.
Where can I find a full comparison of the package features?
During our consultation, we determine which package is right for your conference based on your specific needs—such as the number of attendees, volume of submissions, and program complexity—rather than a simple checklist. We will walk through the options together and be upfront if a smaller package is all you need.
Do we need to provide payment details for the demo?
No. Simply fill out the contact form to receive your demo access credentials. There is no automatic contract and no credit card required. You can test Converia at your own pace and decide afterwards.
